Intake-This involves signing forms, uploading the diagnosis, etc. Once you are done with the intake paperwork, we will verify all your information including checking your insurance and then you will be given an explanation of costs and information about any limits your insurance may have and you will be asked to sign a patient responsibility form noting that you understand this. After that is done we will request prior authorization to start the assessment from your insurance if that’s needed. Assessment-Once we have prior authorization, if needed, from your insurance company the supervisor on the case will contact you to set up the assessment. Our assessments are individualized so the supervisor will have a lot of questions to go over and will want to observe and interact with your child during the assessment. This is all done in your home so you won’t need to travel anywhere.

This is very individualized for sure so the amount of hours is figured out during the assessment process. Usually this ranges between 10-30 hours per week depending on what the child needs, availability, and what insurance will allow. Your supervisor will be discussing this with you during your assessment process. If you have a number in mind it’s good to note this to your supervisor when you meet with them. The amount of hours provided should be noted only after an individualized assessment never during intake or noted as a requirement without your child being evaluated.

Sessions look different for each kiddo. We like to have fun during sessions by taking breaks and doing different activities. We like to move around the environment if possible and do programs in different locations. At first we do like to start by working with the kiddo one-on-one so usually we are in their bedroom or living room and over time moving to more natural environments with others in the area if possible. So it’s a lot of work and breaks mixed together.

You’ll have a supervisor on the case working with you. They usually do supervision 10-20% of direct hours. So for example if you are doing 10 hours per week of direct they would be there at least once per week doing 1-2 hours per week or in some cases every other week 2-4 hours of supervision. This would be during the direct hours. Your supervisor will also request caregiver/parent training/meetings and though this is very important it's dependent on your insurance to approve this or not. This is usually at least 1
hour per week per child and is a great time to ask questions,
review data, and learn skills to support your child in their natural environment. They also may do parent training/meetings with you. This depends on your insurance and usually is 1 hour per week.

We completely understand if a parent needs to leave for a little bit during the
session. For example running an errand or grabbing something from the grocery store. We do have a policy that notes that we ask in these cases that this isn’t occurring every session and when it does the parent has their cell phone on them and turned up as well as only being around 10 minutes away in case of an emergency. If having to be gone for a while or be further away from the home we ask for an emergency contact that is nearby such as a family member or neighbor. We do not allow for any other children who are not allowed to be home alone to stay at the house while the parent is gone. If other children or dependents are left at the home our Team Members are only responsible for the client/individual we are working with.

Usually the Diagnosis Evaluation is 10+ pages. It must include tools used, notes a diagnosis of autism and other diagnoses if applicable, has the diagnosing doctor's name, contact information, their credentials, and their signature.

Sessions usually start with your team working one-on-one with the kiddo
in their room or another place where we can structure the environment so it’s easier to learn. Families are always welcome to observe and most insurances require a percentage of observation time as well as participation in sessions. This is usually around 20% or so. Families programs will be developed meaning that you’ll be shown how to run some programs and you’ll run them during and outside of the session times. We also teach how to take data so you can do that as well. A lot of times after fulfilling the observation and participation times
families use the time we are working with the kiddo to catch up on things and even take a break. We do a lot of the kiddo’s breaks with family since they are excited to spend some time with them. The supervisor on your case will go into more details on participation for sure and most likely this will change over time as the kiddo starts to master off programs, etc.

Pairing is how our team builds a positive, trusting relationship with your child. During pairing, therapists focus on fun and getting to know your child.
Pairing happens when a new team member starts and when sessions begin. It also continues throughout therapy to keep learning enjoyable and your child comfortable.

No matter which ABA company you work with or if this is your first or 3rd ABA agency, you will need: 1. Picture of the front and back of your child's insurance card(s). If there is more than one, you could have them all ready to be included. 2. Full diagnosis evaluation. This is usually a very long document (10+ pages) and includes interview and background information, tools used, and the results, diagnosis with code, signature of the doctor with their credentials. 3. Recent IEP, if your child has one. 4. Termination letter if your child has received services from another ABA company in the last 6 months.
